Compliance
What goes into your vendor file.
Most buildings ask a cleaning vendor for the same things before anyone is let through the door: proof of insurance and a few other documents. This page says what we put in a vendor file and how we handle the wording your building needs.
Where things stand
The vendor file
What a vendor file contains.
A vendor file is put together at the proposal stage and matched to what your building asks for.
Insurance certificates
Certificates matched to your building's requirements, provided during the proposal stage.
Registrations
The business registrations your building asks a vendor to show.
Building-specific compliance documents
The forms and documents your building's own vendor rules call for, completed for your property.
Certificate-holder and additional-insured wording
Where your building specifies it. Send us the wording, as described below.
A vendor file is built around your building's requirements; it is not a standard pack. If your building asks for something we do not hold, the proposal says so plainly instead of implying that we do.
Additional-insured wording
Send us the wording.
Buildings often need named additional insureds or certificate wording in a set form. Here is how we handle it.
- 01
Send us the wording
If your building or lease needs named additional insureds, or certificate wording of a particular form, send us that wording together with the building's insurance requirements, before the proposal is written.
- 02
We match it to what is in force
We set the wording and the requirements beside the documents that actually exist, and we do not describe a requirement as met until it is.
- 03
The proposal says what can be met
The proposal states which requirements are met and which are not. We do not promise wording that has not been issued.
Next step
Tell us what your building requires.
Send the requirements and the wording with a proposal request or a consultation message. The proposal states what is met and what is not.
